What is missed-call text-back, and does it work?

The short answer

Missed-call text-back automatically sends a text to anyone whose call you don’t answer, usually within seconds: “Sorry we missed you. How can we help?” It works by turning a dead-end call into a text conversation you can pick up between jobs. Standalone tools typically cost $20–$150 a month. It only reaches callers on mobile phones, and the texts must follow SMS consent and carrier registration rules.

How does missed-call text-back work?

  1. A customer calls your business number.
  2. Nobody picks up. You’re on a ladder, on another call, or closed for the night.
  3. The system spots the missed call and sends a text from your business number, usually within seconds.
  4. The customer replies by text. Replies land in an app, your inbox or your phone.
  5. You pick up the conversation when you can, and book the job.

Two practical limits. Your business number has to be able to send texts, which many business phone services can switch on for an existing number. And the caller has to be on a mobile phone; someone calling from a landline never sees the text.

Does it work?

The honest answer: we couldn’t find an independent study that measures how many missed callers reply to a text-back, so treat any vendor’s reply-rate claims with care. What is documented is how many calls go unanswered. A small 2016 study by 411 Locals, covering 85 businesses for 30 days, found only 37.8% of calls were answered live, with 37.8% going to voicemail and 24.3% getting no response. A far larger 2026 dataset from Invoca, drawn from more than 70 million calls on its platform, found 56% of callers spoke with a person.

The logic is simple. A caller who reaches nobody can easily try the next business on the list. A text that arrives within seconds reaches them while they’re still deciding, and a text is easier to answer from a job site than a call. Whether it pays off for you is easy to measure: count replies and booked jobs for 60 days.

Example missed-call texts

Keep it short, name your business in the first few words, and invite a reply.

Situation Example text
During business hours Hi, it’s [Business]. Sorry we missed your call. We’re on a job right now. What can we help with? Reply here and we’ll get right back to you. Reply STOP to opt out.
After hours Thanks for calling [Business]. We’re closed for the night and back at 8 AM. Text us what you need and we’ll reply first thing. Reply STOP to opt out.
With a booking link Sorry we missed you. This is [Business]. You can pick a time here: [link], or just reply with your question. Reply STOP to opt out.
Busy season Thanks for calling [Business]. Summer is our busiest time, so texting is the fastest way to reach us. What do you need, and where? Reply STOP to opt out.

What to avoid: coupons or promotions in the text, a string of follow-up messages, and sending the same number a new text every time it calls.

What are the SMS consent and compliance rules?

This is general information, not legal advice. Texting rules change, so confirm your setup with your phone provider, and with a lawyer if you plan to send anything beyond a simple reply.

  • The TCPA. The federal Telephone Consumer Protection Act and the FCC’s rules require consent for many automated calls and texts, and prior express written consent for automated texts that advertise or telemarket. Keep a missed-call text informational, about the call they just made, and leave marketing out of it.
  • Opt-outs. Under FCC rules, people can revoke consent by any reasonable means, including replying “stop,” “quit,” “end,” “revoke,” “opt out,” “cancel” or “unsubscribe.” Requests must be honored within ten business days. You may send one confirmation text with no marketing in it; sent within five minutes, it’s presumed to be allowed.
  • 10DLC registration. U.S. carriers require businesses that text from a standard local number through software to register a “brand” and a “campaign” describing what they send and how people opt in. One major messaging provider says unregistered traffic has been blocked across the industry since February 1, 2025. Your text-back provider should handle this; ask them to confirm it’s done.

They work well together. The AI receptionist answers; text-back catches the callers who hang up before it picks up, or who’d rather text. Text-back is often included with an AI receptionist. Our guide to what an AI receptionist costs covers the full comparison and a break-even calculation.

How to set it up yourself

  1. Ask your current phone provider whether it offers missed-call text-back. Many business phone systems do.
  2. Text-enable your existing number rather than texting from a new one, so customers recognize you.
  3. Complete 10DLC registration through the provider before you go live.
  4. Write your message using the examples above, with an opt-out line.
  5. Send replies somewhere you’ll see them, such as your cell or a shared inbox.
  6. Test it by calling from a mobile phone and hanging up.
  7. Track replies and booked jobs for 60 days.

Text-back protects the calls you already get. If the phone is quiet, the problem is upstream: see why a business doesn’t show up on Google Maps.

What should I text back after a missed call?

Name your business, apologize briefly, and ask how you can help, for example: “Hi, it’s [Business]. Sorry we missed your call. What can we help with?” Add an opt-out line such as “Reply STOP to opt out,” and leave promotions out.

Can I automatically text back a missed call?

Yes. Many business phone systems and texting tools can detect a missed call and send a text from your business number within seconds. The number must be text-enabled and registered for business texting, known as 10DLC.

Do I need consent to send a missed-call text?

The TCPA and FCC rules require consent for many automated texts, and written consent for marketing texts. Keeping the text informational, including an opt-out and honoring every opt-out quickly is the conservative approach. This is general information, not legal advice.

Does missed-call text-back work with a landline?

It depends which side the landline is on. Your business number can often be text-enabled even if it’s a traditional line, through your phone provider or a texting service. But if the caller is on a landline, they won’t receive the text.

Is missed-call text-back worth it without an AI receptionist?

Often, yes, if you can reply to texts within a few minutes and you mostly miss calls while you’re busy. If you miss many calls after hours, or callers need answers on the spot, an AI receptionist covers more.
